How to Customise the User Portal and Notifications in a Customer Organisation

We understand that some companies really appreciate being able to keep their own branding for the services that they offer. Therefore, being able to change the way services are presented can be very important. That is why Jotelulu’s services are “white label” services.

In this tutorial, you will find out how to customise the Jotelulu user portal and the appearance of automatic notifications sent to users. You can do all this in just three simple steps.

Customising the User Portal and E-mail Notifications

How to customise the Jotelulu user portal and automatic notifications

Before you begin:

To successfully complete this tutorial and customise the user portal, you will need:

  • To be registered with an organisation on the Jotelulu platform and have signed in with your username and password.
  • To have signed up to a remote desktop subscription, have a file storage subscription or have added any other subscription for which there are registered users and which requires the portal for access.
  • An imagelogofavicon and colour that you wish to use to customise the user portal.

Features that can be changed on the user portal:

Before going into detail about how to customise the user portal, it may be useful to identify the features that can be changed.

Now that you know what can be changed, we will look at how to change each of these features.

Step 1. Access the Customisation section

Once you have signed into the platform, click on “Organisation” (1) on the top menu.

Step 1. Access the Organisation section using the top menu

Once in the Organisation section, click on “Customisation” (2) on the left-hand menu.

Step 1. Access the Customisation section in the Organisation section

In the Customisation section, you will see two tabs. These tabs allow you to customise:

  • The user portal.
  • The automatic notifications sent by the platform.

Click on the USER PORTAL tab (3) to expand it and begin customising the user portal.

Step 1. Customise the user portal using the USER PORTAL tab

Step 2. Customising the User Portal

The USER PORTAL tab will expand to display all the different features that can be modified.

Step 2. Customisable features on the user portal

Begin by entering the title and description (4) that you want to be displayed on the user’s web browser.

Step 2. Change the title and description that appear on the web browser

Once you have entered the title and description, you now have the option to upload a background imagelogo and favicon. You can also set the main colour (5) for the features on the portal (buttons, text and icons).

Step 2. Customise the user portal with your own image, logo and colours

Once you have customised the appearance of the user portal, you will need to change the access URL (6). If the DNS zone is registered on the Jotelulu platform, a CNAME record will be automatically created so that the new URL will work correctly. If the DNS zone was not registered on Jotelulu, you will need to create a specific CNAME record on your DNS that points to portal.jotelulu.com.

Step 2. Customise the user portal URL

Once you have set the URL, you can now configure the digital certificate. If the company in question has a certificate, simply click on “Upload my own certificate” and add the Certificate, private key and PEM file (7).

Step 2. Upload a digital certificate to customise the user portal URL

If they do not have a certificate, simply click on “Generate Let’s Encrypt certificate” (8) and take note of the records to create on the DNS once you have clicked on “Save” (9).
Step 2. Customise the user portal URL using the Let’s Encrypt option

Once you have completed all these steps, you will have successfully customised the appearance of the user portal.

Step 3. Customising automatic notifications

The Jotelulu platform will send users various notifications from time to time. These notifications can also be customised. To do this, click on the E-MAIL tab (10) in the Customisation section.

Step 3. Customising automatic notifications

Once the tab is expanded, you will see two sections:

  • Sending mode, This allows you to choose the e-mail account used to send automatic notifications:
    • Send from: notificaciones@jotelulu.com.
    • Send from a specific e-mail account (through the Jotelulu e-mail servers). To do this, enter the new sender e-mail address (11) and the name that you want to be displayed (12). To ensure that notifications are sent correctly, you will need to activate SPF and DKIM. The process for doing this will be shown once the changes have been saved.

Step 3. Customising the e-mail address and name used to send notifications

  • Appearance of notifications. This allows you to modify the appearance of e-mails sent by the platform, using either:
    • The default Jotelulu e-mail template (13)
Step 3. Keeping the original appearance of e-mails sent by the platform (Jotelulu Template)

    • A customised e-mail template. With this option, you can change the name of the organisation (14) that appears in the SUBJECT field, the header colour (15) and the e-mail signature (16).
Note: We recommend making the header colour white so that it always goes well with the company logo.
Once all changes have been made, click on the “Save” button (17).

Step 3. Customise the appearance of e-mails sent by the platform

Your changes will now have been saved. The platform will now show instructions for checking that e-mail notifications display correctly.
